As a financial planning organisation we are subject to legislative and regulatory requirements which necessitate us holding your personal information. In addition, our ability to provide you with a comprehensive financial planning and advice service requires us to collect certain information. This includes your name, email address, date of birth, drivers licence number, tax file number, bank account details, employment details and details of your current financial circumstances.

Generally we will collect your personal information by dealing with you directly, either through face to face interviews, over the telephone or by way of an online client engagement form. In some cases we may collect your personal information from external sources such as persons authorised by you (eg accountants or lawyers), third party brokers (eg insurance and mortgage brokers) or from employers and superannuation funds (as authorised by you).

Your privacy is very important to us. We will not use or disclose personal information collected by us for any purpose other than the purposes for which it was provided, secondary related purposes in circumstances where you would expect such disclosure or if authorised by law. Keeping Your Personal Information Secure
Your personal information is held in our secure client database. At all times your information is treated as confidential, and any sensitive information is treated as highly confidential. All paper files are stored in lockable cabinets and all record movements off premises are recorded in a central register. Access to our premises is controlled and we use firewalls and anti-virus technology to prevent unauthorised access. Data is backed up each evening and stored securely off site.
Accessing Your Personal Information
You may request access to your personal information at any time, and we will reasonably provide you with access to that information, either by providing you with copies or an accurate summary of the information (this may incur a charge, depending on the extent of the information required). We will endeavour to respond to any request for access within 14 - 30 days depending on the complexity of the information - if your request is urgent, please indicate this clearly.
Privacy Enquiries and Complaints
If you wish to complain about any breach or potential breach of our privacy policy, please contact us and request that your complaint be directed to the Compliance Manager. We request that any complaints be made in writing, and we will respond within 7 days. If necessary, we will conduct an investigation in order to resolve the complaint to your satisfaction. If you are unhappy with our response, you are entitled to contact the Office of the Privacy Commissioner, who may further investigate your complaint.

Our first meeting is all about getting to know each other better. We’ll ask about your business (if you have one) and assess the structures you already have in place for your company or personal finances.
Transfer of Files
Once we’ve agreed to work together we will arrange for your financial details and associated files to be transitioned onto our system. We’ll also arrange for access to your software packages and to the ATO system.

This is a more in-depth discussion to define your personal and business goals, and discuss how we can help you achieve them. We’ll also drill down into more detail about any specific areas we can assist you with.
Ongoing Management
Once we have your instructions, we’ll get to work, regularly checking in with you to keep you updated as to how everything is progressing. Your feedback is an invaluable part of this relationship-building process.
